Sampling costs are one of the most common points of confusion between new buyers and manufacturers. Here is a straightforward look at when a sample is free, when it costs money, and why.

When a Stock Sample Is Free

If a factory already produces the formula and packaging you are asking about, sending a stock sample is usually low-cost and often free, since it is simply an existing product pulled off the line. This is the standard way to test product quality before placing a larger order.

When Customization Adds Cost

Once you ask for your own logo, custom packaging, or a formula adjustment, a sample run needs its own short production setup — die-cutting, printing plates, or a small test batch. That setup has a real cost, so a reasonable factory will quote a paid sample fee to cover it.

Who Pays for Shipping

Even when the sample itself is free, buyers are generally expected to cover the courier fee. This is standard practice across the industry and is not a sign of a supplier trying to squeeze extra revenue out of a small order.

What a Fair Sample Quote Looks Like
